2. The Data We Collect
We may collect, use, store, and transfer different kinds of personal data about you:
Identity Data
Names, titles — used for contract formalization and communication.
Contact Data
Addresses, email addresses, phone numbers — used for scheduling, service delivery, and direct communication.
Financial Data
Payment confirmations — processed via third-party systems. We do not store full payment card details.
Technical Data
IP address, device type, browser information, cookies and site usage data.
Property Access Data (Critical)
Alarm codes, key safe codes, access instructions, key locations — essential for performing the cleaning service.
Security: This critical data is strictly ring-fenced from all general client records and is stored separately. We employ encryption and pseudonymisation where technically possible to protect this highly sensitive information.
We only collect information necessary to deliver our services effectively.
3. How We Use Your Data (Lawful Basis)
We will only use your personal data when the law allows us to:
- Performance of a Contract: To register you as a new client and deliver the agreed-upon cleaning service, including processing payments.
- Legal Obligation: To comply with legal or regulatory requirements, such as maintaining accurate financial records for HMRC (Tax) purposes.
- Legitimate Interest: To improve our services, manage our staff rosters efficiently, ensure the security of our employees, and contact you for service-related feedback.
We never sell your data.
4. Data Security & Storage
We have implemented appropriate security measures to prevent your personal data from being accidentally lost, used, or accessed in an unauthorised way.
Digital Security
- All client data is stored on secure, password-protected cloud systems (Google Workspace)
- Two-Factor Authentication (2FA) required for all employees
- Financial transactions processed via Monzo and FreeAgent
Physical Security
- Client keys are not marked with addresses — tagged with anonymous internal reference codes
- Keys kept in secure, restricted-access location when not in use
Data Separation (Strict Ring-Fencing)
Client data is processed solely for Oasis International Cleaning Services Ltd and is never shared, cross-referenced, or accessible to Oasis International Care Services Ltd. The systems, databases, and personnel handling data for the two entities are entirely separate and non-interoperable.
5. Data Retention
We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for.

- Payment processors (for payment verification)
